The European Broadcasting Union (EBU) is looking for a Junior Administrative Assistant.
ABOUT THE EBU DG's OFFICE
The DG/DDG Office provides high-level executive, administrative and operational support to the Director General, Deputy Director General and senior management.
It ensures smooth coordination of confidential meetings, decision workflows, institutional documentation, communications and stakeholder interactions.
The service acts as a key interface with Members, Directors, senior stakeholders and internal support functions, and also supports the planning and delivery of institutional meetings, strategic events and Member-facing activities.
As Junior Administrative Assistant, you will provide operational and administrative support to the DG and DDG offices under the guidance of the Office Manager. You will handle routine administrative matters and escalate confidential, sensitive or strategic issues as appropriate.
Your responsibilities will include:
- Providing day-to-day administrative support, including calendar management, meeting coordination and document preparation and filing.
- Supporting the organisation of meetings and institutional events, including logistics, documentation and on-site assistance.
- Coordinating travel arrangements and handling related logistical requests for the DG/DDG offices and their visitors.
- Supporting finance and procurement administration, including invoices, purchase orders and supplier follow-up.
- Acting as a liaison with internal support services such as HR, IT, Facilities, Travel and Procurement.
- Providing additional support as needed, including during peak institutional periods.
YOUR SKILLS AND EXPERIENCES
- Strong skills in Microsoft Suite, with a focus on PowerPoint, Word and Excel.
- Strong oral and written communication skills.
- Strong attention to detail.
- Ability to perform under tight timelines, in a fast-paced, changing environment.
- Ability to maintain and develop good long-term relationships with hotels, venues and suppliers.
- Proactive, autonomous and organised.
- Energetic, resilient and rigorous.
- Creative, solution-oriented and agile.
LANGUAGE
Fluent English (proficient) and French (advanced) are required.
EDUCATION
Professional qualification or high school diploma.
ADDED VALUE
Additional experience in the following areas would be a bonus:
- Previous experience in an international, multicultural or governance-related environment.
- Experience with event management tools such as Idloom or XRM.
- Experience supporting senior management or executive offices.
