About the Role
We are looking for a highly organized and proactive Office Administrator to join our team in Switzerland.
The successful candidate will be responsible for the smooth day-to-day operation of the office and will provide administrative support to employees, management, HR, Finance, and other departments.
We are looking for someone who is reliable, detail-oriented, professional, and comfortable working in an international environment.
Key Responsibilities
- Manage daily office operations and administrative activities
- Welcome visitors and provide professional front-desk support
- Handle incoming calls, emails, mail, deliveries, and general correspondence
- Coordinate meetings, appointments, calendars, and conference rooms
- Organize business travel, accommodation, and transportation when required
- Order and maintain office supplies, equipment, and facilities
- Maintain accurate electronic and physical filing systems
- Prepare reports, presentations, spreadsheets, correspondence, and other documents
- Process invoices, purchase orders, expense claims, and other administrative documentation
- Support Finance with basic administrative and bookkeeping-related tasks
- Assist HR with employee onboarding, documentation, and general personnel administration
- Maintain internal databases and employee records
- Coordinate with landlords, suppliers, maintenance companies, and other external service providers
- Organize internal meetings, team events, and office activities
- Support management and employees with general administrative requests
- Handle confidential and sensitive information with a high level of discretion
- Identify opportunities to improve office processes and administrative workflows
Requirements
- 2+ years of experience in office administration, administrative support, office management, or a similar role
- Excellent organizational and time-management skills
- Strong attention to detail and accuracy
- Professional communication and interpersonal skills
- Proficiency in Microsoft Office, particularly Outlook, Word, and Excel
- Ability to manage multiple priorities and work independently
- Strong problem-solving and multitasking abilities
- Professional and service-oriented attitude
- Ability to handle confidential information responsibly
- Previous experience in an international or multicultural environment is an advantage
Languages
- English: fluent
- German: good working proficiency preferred
- French or Italian: an advantage depending on location
Education
A diploma or degree in Business Administration, Office Management, or a related field is preferred, but relevant professional experience and practical administrative skills are equally valued.
