CONTEXT & MISSION:
We are looking for an exceptional Executive Assistant to join our Global Travel Retail Business Unit ! In this role, you will provide high quality assistance to 2 Executives (60-70%) and organize internal & international commercial events (30-40%). You will interact and work hand in hand with multiple stakeholders in an international fast-paced environment.
The position reports to the Managing Director Global Travel Retail and is based in the Group WHQ, in Plan-les-Ouates (near Geneva).
MAIN RESPONSIBILITIES:
- Acting as the point of contact for the top management, other teams and external partners
- Managing information flow in a timely and accurate manner
- Managing the Global Managing Director's & EMEA and Americas General Manager’s calendars, including making appointments and prioritizing the most critical and sensitive matters
- Organizing meetings, including scheduling (and when necessary taking minutes)
- Coordinating travel and accommodation arrangements, and creating trip itineraries
- Processing daily expenses and preparing monthly reports
- Organizing internal events and international commercial events within the budget
- Assisting with some PowerPoint presentations when necessary
HOW YOU CAN FIT:
- Proven track record as an Executive Assistant in an international fast-paced environment, ideally within the Travel Retail industry
- Strong experience in organizing international events
- Fluent in English & French, knowledge of Spanish is a plus
- Extensive MS Office knowledge (including PowerPoint and Excel)
- Solid experience in treating confidential information with appropriate discretion and in acting as gatekeeper
- Outstanding interpersonal skills and a proven track record of working collaboratively with multiple stakeholders
- Positive, open and bubbly personality with a strong team-spirit skilled at working in a multicultural environment
- Highly dedicated approach, capable of adapting to changing priorities and high tolerance towards ambiguity
- Strong organizational and time management skills with the ability to anticipate needs, multitask and prioritize effectively in a VUCA environment
- Problem-solving skills & can-do attitude with the ability to work proactively with minimal supervision
- Exceptional attention to detail
